Business Coordinator-Rental Manpower & Equipment

We are currently seeking a Business Coordinator to join our team at a Temporary Construction Facility (TCF) Contracting Company in Saudi Arabia. The selected candidate will play a vital role in enhancing the operations team, focusing on rental manpower and equipment coordination for projects.

Role Overview

The Business Coordinator will be responsible for managing requisitions for rental manpower and equipment, verifying documentation, coordinating mobilization, and ensuring smooth operations across all projects. The role requires strong supplier relationships, effective issue resolution, timesheet submission, and overseeing invoicing and payment processes. Collaboration with internal departments will be key to ensure efficient operations.

Key Accountabilities

• Rental Manpower & Equipment Requests: Manage requisitions for rental manpower and equipment across all projects.

• Document Verification: Obtain and verify required documents from suppliers or the rental department to ensure compliance with project requirements.

• Supplier Relations & Negotiation: Build and maintain relationships with suppliers, negotiating quotes for equipment to meet project demands.

• Mobilization & Demobilization: Oversee mobilization and demobilization of manpower and equipment according to project schedules and requirements.

• Site Visits: Conduct regular site visits (at least weekly) to oversee operations and address issues.

• Issue Resolution: Address any problems related to operators or equipment promptly to avoid project delay.

• Timesheet & Invoice Management: Ensure timely submission of timesheets for equipment and operators to facilitate invoicing, review and verify rental suppliers’ invoices for approval and processing of payments.

• Payment Follow-ups: Track payments related to rental equipment and manpower.

• Client Meetings: Arrange meetings for the line manager with clients regarding large-scale projects.

• Internal Employee Transfers: Facilitate internal transfers of AURCO employees to optimize manpower utilization.

• Employee Training: Arrange necessary training and certifications based on project requirements.

• Cross-department Coordination: Collaborate with other departments to ensure smooth operations for rental manpower and equipment.

Qualifications:

Education: Bachelor’s degree in Business Administration, Operations Management, or related field.

Experience: 3+ years in operations coordination, manpower, and equipment management in a project-based environment.

Skills: Strong negotiation, communication, and problem-solving abilities. Proficiency in MS Office and experience with administrative functions.

Additional Requirements: Ability to travel to various project sites, attention to detail, and effective team coordination.
